Answer: I need to cancel the meeting tomorrow.

How to Write a Message to Cancel a Meeting
Sometimes plans change and you need to cancel a meeting with someone. This is a very common type of writing in everyday life. You might need to cancel a meeting with a colleague, a friend, a teacher, or a doctor. In these situations, it is important to write a clear, polite message in English.
A cancellation message is usually a short, informal or semi-formal email or text message. A good cancellation message does three things: it tells the person that you cannot come, it gives a reason, and it suggests a new time to meet. In this lesson, you will learn how to write this kind of message clearly and politely at A2 level.
Essential Writing Rules & Sentence Structure
1. Organise Your Message into Clear Paragraphs
A good cancellation message has a simple structure. Follow these three parts:
- Opening: Greet the person and say why you are writing.
- Middle: Explain your reason for cancelling and say sorry.
- Closing: Suggest a new time to meet and say goodbye politely.
2. Use Linking Words to Connect Your Ideas
At A2 level, you should connect your sentences using simple linking words. For example, use because to give a reason: "I can't come to our meeting because I am not well." Use so to give a result: "I am not well, so I need to cancel our meeting." Do not write two ideas in one sentence without a connector.
3. Use the Correct Verb Tenses
- Use the present simple or present continuous to explain your current situation: "I am feeling unwell." / "I have a doctor's appointment."
- Use going to or will for future plans: "I'm going to be in London next week." / "I will call you tomorrow."
- Use can and could for polite requests: "Could we meet next Tuesday instead?"
4. Use Commas Correctly
Always use a comma after an introductory time clause. For example: "When I got home, I realised I had a problem." Also use a comma before so when it connects two clauses: "I have a meeting at work, so I can't come."
Useful Linking Words (Connectors)
| Connector | Function / Use | Example Sentence |
|---|---|---|
| because | Gives a reason (answers why?) | I can't come because I have a doctor's appointment. |
| so | Gives a result or consequence | I am not feeling well, so I need to cancel. |
| but | Shows contrast or an alternative | I can't come on Monday, but I'm free on Wednesday. |
| and | Adds information | I'm sorry about this, and I hope we can meet soon. |
| when | Connects a time clause to a main clause | When I checked my diary, I saw I had another meeting. |
| before | Shows something happens earlier | Please let me know before Friday if you are free. |
| after | Shows something happens later | After the holiday, I'll have more free time. |
| although | Shows a simple contrast or concession | Although I really wanted to come, I can't make it. |

Common Writing Mistakes to Avoid
❌ I can't come, because I'm sick so I need to cancel.
✅ Use either 'because' or 'so', not both together. Write: "I can't come because I'm sick." OR "I'm sick, so I need to cancel." Using because and so in the same sentence is a very common A2 mistake. They both connect the same two ideas, so choose one.
❌ I am writing to cancel our meeting I have a doctor's appointment.
✅ Do not join two separate ideas without a connector or full stop. Write: "I am writing to cancel our meeting. I have a doctor's appointment." OR "I am writing to cancel our meeting because I have a doctor's appointment." Two sentences without a connector is called a run-on sentence.
❌ When I checked my diary I saw I had another meeting.
✅ Use a comma after an introductory time clause. Write: "When I checked my diary, I saw I had another meeting." When when, before, or after starts the sentence, always put a comma before the main clause.
❌ Im sorry I cant come to the meeting on tuesday.
✅ Use apostrophes in contractions and capitalise days of the week. Write: "I'm sorry I can't come to the meeting on Tuesday." Remember: I'm = I am, can't = cannot, and days of the week (Monday, Tuesday, Wednesday, etc.) always begin with a capital letter in English.
